MADINGLEY ROAD AREA RESIDENTS’ ASSOCIATION
- The Madingley Road Area Residents’ Association will cover Madingley Road and the streets/portion of streets leading from it, as shown in the map attached.
- The purpose and function of the Association will be to represent the interests of the residents of member households and University Colleges within the Madingley Road Area on all matters of common concern, and to do all such other things as may be reasonably incidental to that aim. It may also hold social functions. It may liaise with other Residents’ Associations and similar organisations.
- All residents, property owners and University Colleges, including long-term tenants (2 years+) in the Madingley Road Area are eligible for membership, if they are aged 18 or over. Residents are permitted to be a member of more than one Residents’ Association if they live in the designated area.
- There will be one formal meeting (AGM) each calendar year. Other meetings will be held as necessary.
- The Committee will consist of a Chair (or two Co-Chairs if deemed appropriate), a Vice-Chair, Secretary and Treasurer elected for a term of two years, renewable once (ie, maximum 4 years). After one year out of office, officers may then be re-elected to their former or other office. Officers of the Association will be elected at the AGM.
- The quorum for elections and decisions on any major matters will be 30% of the total membership. Voting will be in person or by email/paper ballot but email votes must be from the email address generally in use by the member. The decision on what constitutes a ‘major matter’ will be taken by the Chair and Vice Chair. The quorum for decisions on any other matters will be three members to allow small subgroups to meet on single issues.
- All meetings, including subgroup meetings, will be convened by the Chair and Vice Chair, and the quorum will be 3 members.
- The Constitution may be altered at the AGM by simple majority.
- The nominal annual subscription will be set at each AGM for the following year. In the year from 3 June 2016-2 June 2017 the annual subscription per household is set at £10. Donations may also be invited from time to time to cover extraordinary expenditure.
- The Treasurer will keep accounts and will present them at the AGM. The subscription year will run from AGM to AGM.
- If an AGM has not been held for over two years, and one has not been called in that period, the Association will be wound up, and any remaining assets will be given by the Treasurer to a local charity.
